Company Secretarial Assistant

Part time / full time

Reporting to the board of directors

Key responsibilities

  • Ensuring all new clients’ details are accurately set up in the company secretarial software.
  • Maintaining the company secretarial software to ensure it is up to date at all times.
  • Ensuring company secretarial compliance to all clients including taking care that all annual filings for clients are made within the required timescale.
  • Completing and filing of annual returns and dormant accounts.
  • Arranging for formation of companies to suit client’s requests.
  • Liaising with compliance bodies.
  • Arranging and managing AGMs.
  • Dealing with employee share schemes and issuance of shares.
  • Undertaking project assignments such as attending Board meetings and drafting minutes.
  • Dealing with ad hoc clients enquiries in an efficient and professional manner.
  • Providing in-house company secretarial services as may be required by clients.
  • Knowledge of the Companies Act 2006 and its application is essential.

This list is not exhaustive and covers only key responsibilities. Other responsibilities will be presumed of all staff (such as courtesy and team work) and others may arise as the role develops. A minimum of two years of relevant experience is required. You should regard yourself as customer service orientated as the department aims to provide a professional and pro-active service. Excellent organisational skills and attention to detail are essential.
